Privacy Policy
Last updated: July 19, 2026
Out of Office ("OOO", "we", "us") helps friends and trusted circles start lightweight cafe work sessions. This policy explains what data the app collects, how we use it, and the choices you have. We keep the data we collect to the minimum needed to run the service, and we do not sell it or use it for advertising.
Information we collect
- Account details. When you sign up we collect your email address and the display name you choose. A profile photo is optional and only stored if you add one.
- Your circle and activity. The connections you make, connection requests you send or receive (including an invited person's email address until they join), and the cafe work sessions you create or join.
- Place searches. When you search for a cafe or venue, your search text and the place you select are processed to show results and attach a location to a session. OOO does not track your device's background location.
- Operational data. Basic technical records such as timestamps needed to operate features (for example, rate limiting to prevent abuse).
How we use your information
- To create and secure your account and sign you in.
- To let you build a circle, send and accept connection requests, and start or join cafe sessions.
- To find and display cafes and venues you search for.
- To keep the service reliable and safe, including preventing abuse.
Service providers we share data with
We use a small number of trusted providers to run OOO. They process data only to provide their service to us:
- Clerk — handles authentication (sign-up, sign-in, and email verification codes).
- Convex — hosts our backend and database where your profile, circle, and session data are stored.
- Google Places — powers cafe and venue search when you look for a place.
We do not sell your personal information, and we do not share it with advertisers or data brokers.
Data retention
We keep your information for as long as your account is active. When you delete your account, your profile is removed and personal details (such as your name and photo) are anonymized. Some minimal records may persist where needed to comply with legal obligations or to prevent abuse.
Your choices and rights
- Delete your account. You can delete your account from within the app at any time. This removes your profile and anonymizes your personal details.
- Update your information. You can change your display name and profile photo in the app.
- Access and other requests. Depending on where you live, you may have additional rights over your data. Contact us and we will help.
Security
Data is transmitted over encrypted connections and stored with our service providers. No method of transmission or storage is completely secure, but we take reasonable measures to protect your information.
Children
OOO is not directed to children under 13 (or the minimum age required in your country), and we do not knowingly collect data from them. If you believe a child has provided us personal information, please contact us and we will delete it.
International users
OOO is operated with the help of providers that may process and store data in other countries. By using the app you understand your information may be processed outside your country of residence.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the "Last updated" date above. Continued use of the app after changes means you accept the updated policy.
